Create and send an invoice
Invoice a customer in Idun: enter the details, preview the PDF, save a draft and send after review.
You can create and send invoices directly in Idun Blue. Open Invoices in Studio, at /finance.
Before you start
Invoicing must be enabled and your required business invoice details saved. If New invoice is disabled, the page explains what is missing and links to invoice settings at /settings/accounting.
Send an invoice
- Open Invoices and choose New invoice.
- Choose One invoice. Enter the customer’s name, email and billing address. For a business, also enter its company name.
- Add invoice lines with a description, quantity and price. Check currency, tax, invoice date and due date.
- Choose Preview PDF to read the invoice before sending.
- Choose Save draft to continue later. A draft can be edited, has no invoice number and has not been sent.
- When the details are ready, choose Send invoice. Confirm the recipient and amount in the box that appears. Only then is the invoice saved, numbered and sent. If you cancel, nothing is saved.
A manual invoice does not automatically grant access to a course. Course access and paying by invoice through an offer are separate flows.
Check delivery
Waiting to send means the invoice is queued. Sent means the email has been sent. Delivered appears when delivery is confirmed. None of these means the customer has paid.
Open the invoice PDF from the list. Use Send to resend an issued invoice. Mark it paid only after checking the payment.
Reuse an invoice
Choose Duplicate in an invoice’s menu (…) to start a new invoice from an earlier one. The customer, lines, tax and texts carry over, the dates are new and the invoice has no number yet. Change what you need before saving or sending – the original is not affected.
Recurring invoices
Choose Recurring monthly invoicing when creating an invoice. Set the first month and whether the agreement continues until stopped or covers a fixed number of months. Save and review the draft before activating it. Review future invoices under Upcoming. Activation enables future sending; a saved draft does not.
Ask your AI to prepare the invoice
Search for “send invoice” in the help centre and choose Ask your AI to do it. You can review the task before sending it. Include the customer, what the invoice is for and the amount. The AI should check workspace details, prepare a draft and wait for your confirmation before sending.
