Bookings and coaching
Create a booking type, set your availability, add exceptions and share the booking link — and what applies if the session should cost money.
Open Bookings in the menu, in the Content group. It has two views:
- Bookings — sessions someone books in your calendar. This article.
- Coaching — coaching packages. Turned on in Settings → Features.
If you only see one view, coaching is off in your workspace.
Create a booking type
A booking type is a kind of session: “Intro call, 20 minutes” or “Coaching session, 60 minutes”. You make it once and share the link as many times as you like.
- Open Bookings.
- Click New booking type.
- Fill in name, slug and duration.
- Click Create booking type.
Then open it to set up the rest. The editor has four tabs: General, Availability, Overrides and Bookings.
General
- Name, slug and description. Write the description as an answer to “what happens on this call?”.
- Duration — how long the session runs.
- Buffer before and Buffer after — minutes blocked around each booking. With a 60-minute session and a 15-minute buffer after, nobody can book straight into your exhale.
- Min notice (hours) — how late someone may book. 24 hours stops bookings that appear while you sleep.
- Max advance (days) — how far ahead the calendar opens. 30 or 60 days is enough for most people.
- Location — Zoom, Google Meet, Phone, In person or Custom.
- Active — the booking link only answers when the type is active.
If the session should cost money
Under Settings → Payments, check that your business’s own Stripe account is connected and can accept payments. The booking uses your workspace’s payment connection.
- Under Price, choose Paid.
- Choose Currency: SEK or USD.
- Enter the Amount in that currency, for example
97for 97 dollars. - Click Save. The payment price is created automatically. Changes also save automatically when the fields are complete; check that saving has finished before sharing the link.
If an older booking already displays amounts in both SEK and USD, it shows Keep existing price. Those amounts and the payment price stay unchanged. To change the price, choose SEK or USD, enter the new amount and save. The booking then charges in your chosen currency.
Availability
In the Availability tab you set your weekly schedule — which hours on which days — and your timezone.
Set the timezone first. Everything else is calculated from it, and a wrong timezone is the one setting that gets you a call at six in the morning.
Be stingier than you think. Five good slots a week you can genuinely keep beat twenty you’ll have to reschedule.
Overrides
The Overrides tab is for individual dates: your holiday, the Wednesday you’re away, or a Saturday you’re opening up extra. Per date you can close entirely or set different hours than usual.
Share the link
The General tab has a Booking link card with a copy button. The link looks like this:
yourworkspace.idun.blue/book/intro-call
The link only answers if the booking type is active and has availability. If either is missing, Idun Blue tells you right there in the card rather than letting you share a dead link.
Always test the link in a window where you’re not logged in before you put it out.
The bookings
The Bookings tab shows who has booked. From here you can cancel, and you can export to CSV if you want the list in a spreadsheet.
Reminders
Reminders are sent automatically: one email 24 hours before and one one hour before. There’s no setting for them — they’re on, always, and you don’t need to do anything.
Tips
- Have a buffer after, not just before. It’s after the call that you need those ten minutes.
- Say in the description what she should bring or prepare. It raises the quality of the session more than anything else.
- Block your holiday in Overrides before you go, not after someone has booked.
