A booking tool looks complete when a client can choose a time. For a coach, the real work begins after that click: the right meeting link, payment, breathing room between calls, rescheduling, remaining sessions and client context before the next meeting.

Separate the booking type from the calendar slot

An introductory call, a 60-minute session and a group workshop are different products. Each needs its own:

  • duration
  • location or video link
  • paid or free status
  • availability
  • buffer before or after
  • advance window and booking cutoff

A weekly schedule is only the base. Date exceptions are needed for travel, holidays and occasional extra availability.

Prevent double booking across the calendar

Checking only the same booking type is not enough. A coach may offer several types that use the same time. The system must detect conflicts across all bookings and include their buffers.

Availability should be checked again when the booking is saved. Otherwise two people who saw the last open slot can take it almost simultaneously.

An individual session can be paid for while booking. A package is different: the client buys, for example, six sessions and uses one at a time.

Packages need to track:

  • total sessions
  • used and remaining sessions
  • expiry
  • which availability the package can use
  • cancellation and no-show policy

Clients should be able to see their balance. You should not need a separate spreadsheet.

Direct booking or application?

Some coaching is not suitable for everyone. In that case, an application flow is better than an open checkout. Ask only for information you will use, review the application and grant access after approval.

State clearly that applying does not confirm a place and when the applicant should expect a response.

Confirmation, calendar and reminder

The confirmation should contain time, timezone, location or link and the rescheduling policy. A calendar file lets the client add the meeting without copying details manually.

The reminder should arrive close enough to help but should not be the only place the meeting link exists. Rescheduling should update the calendar event instead of creating a duplicate.

Before the next call

The most useful feature is often connection to the client: previous bookings, package status, purchases, course progress and notes. That is the difference between a booking widget and a coaching system.
