Team and roles

Invite someone to work alongside you and give her exactly the access she needs — the four roles and what each one can do.

When someone starts helping you — an assistant, an editor, someone answering in the community — she should have her own account with the right role. Never your password.

You’ll find it under Settings → Team.

The roles

Four roles can be assigned:

AdminEverything except your Idun Blue subscription and deleting the workspace.

Every role can see Statistics.

Two roles are shown but can’t be assigned:

  • Owner — full access, including the Idun Blue subscription. That’s you.
  • Superadmin — a platform role, not something you hand out.

Invite someone

  1. Go to Settings → Team.
  2. Type her email address.
  3. Choose a role. The dropdown shows what each role can do, so you don’t have to guess.
  4. Send the invitation.

She gets an email with a link. If she has no Idun Blue account, she creates one on the way.

Pending invitations appear in the list. You can resend the email if it didn’t arrive, or cancel the invitation.

Change someone’s role

Open the role menu next to her name and pick the new one. You have to confirm before it takes effect — a deliberate brake, because it’s a step with consequences.

Remove someone

Click Remove and confirm. She loses access to your workspace immediately. Her own Idun Blue account stays — she just can’t get into yours any more.

Give the least, not the most

It’s tempting to make everyone an admin so nothing gets stuck. Don’t.

  • Someone writing course content needs Editor.
  • Someone running email and launches needs Marketing.
  • Someone answering members needs Support.
  • Admin gives away nearly everything. Give it only to someone you’d trust with your bank account.

The Idun Blue subscription and deleting the workspace go through you as owner alone. That can’t be delegated, and that’s deliberate.

When someone leaves

Remove her the same day. Not at the end of the month.

Go through the team list once a quarter. There are usually people still on it who left long ago — the intern, that consultant, the previous assistant.

Tips

  • One address per person. A shared account makes the Audit log under Settings worthless — you see what happened but not who did it.
  • Write a line about what each person is responsible for. In six months you won’t remember why Anna is an admin.
  • If you need a role that doesn’t exist — get in touch and tell us what she should be able to do.
